Bookings

Standard cancellation policy (see below) applies from the point of booking. By placing a booking with us, you are agreeing to the standard cancellation policy. You should endeavour to notify us as soon as possible, using info@oxbridgemedica.com, in the event that you cannot attend a course you have booked for.

For any group bookings, please read our Group Bookings Terms & Conditions.

All registrations are confirmed by email using the addresses provided at the time of registration. However, Oxbridge Medica is not responsible for non-arrival of registration confirmations and the final arrangements. Should you not receive the confirmation and final arrangements by email 7 days prior to the course, then please contact our team at info@oxbridgemedica.com or call them on 0161 980 8882 to make sure that we have received your booking application.

Cancellation Policy

Failure to arrive on a course is not a cancellation. If you fail to show up for a course that you are booked on to without informing us, you remain liable for 100% of the course fee. If you are only able to attend part of the course no refund can be given.

Under the Consumer Protection (Distance Selling) Regulations 2000, you have the right to cancel the contract, for the purchase of a place on a course within a period of 7 working days from the application date (a ‘cooling off’ period) and receive a full refund. However, we regret that we cannot accept a cancellation of contract or make a refund if you have accessed any online materials or you cancel a place less than 7 days before the course is due to start, as conference costs would have been incurred on your behalf.
For cancellations made 14 days or less from the course date, 100% of the course fee will be retained.
For cancellations made between 30 to 15 days from the course date, 50% of course fee (or at least £50) will be retained.
For cancellations made more than 30 days from the course date, we will refund you the entire course fee minus a £50 administration charge.

Prior to the event, if you are unable to attend for any reason, you may change the name of the delegate free of charge, so that someone can attend in your place. Please be advised that if we have already prepared all the course material prior to this, we do not guarantee that we can reprint all/part of the material to include the name of the new delegate.

In the event of sickness or special circumstances that prevent you from attending, delegates remain fully liable for the course fees. However, if you notify us at least 14 days prior to the course, we will try to book you onto another course so that you don’t miss out on the training opportunity. This is subject to availability and will incur a £50 administrative charge for the transfer. We promise to do our best under the constraints we have to work with leading up to a course.

Final Arrangements

Final arrangements and instructions on how to arrive at the venue will be issued to you via e-mail before the course is due to take place (generally around 14 days prior), using the email address contained in your account. Oxbridge Medica cannot be held responsible for the non-arrival of the final arrangments. If you have not heard from us within 7 days of the course date, please contact our Team on info@oxbridgemedica.com or call them on 0161 980 8882.

Venues

Due to the nature of our courses, the venues we book depend on the number of delegates that sign up, so no venue arrangements should be deemed final more than 3 weeks prior to a course and without specific confirmation from us. Should you wish to book a hotel or make travel arrangements in advance, please ring our office before proceeding for more information. Where a change of venue is necessary, Oxbridge Medica shall make every effort possible to book a room as close as possible to the original proposed venue. However, Oxbridge Medica shall not be liable to refund any hotel/travel fares that delegates might book without prior written confirmation from Oxbridge Medica regarding the final venue for a course.

Limitation of Liability

In the unlikely event that an event is postponed or cancelled, the liability of Oxbridge Medica shall be limited to a full refund of the fee paid for that particular event.

Oxbridge Medica shall not be held responsible in the unlikely event a session is canceled/rescheduled if the speaker cannot attend due to adverse weather conditions, ill health or circumstances otherwise unforeseen. Oxbridge Medica shall make every effort possible to reschedule the session in these situations, but delegates will not be entitled to any refund if such situation arose.
